What is this?

BSc projects at LJMU invevitably produce quite a lot of documentation. At a minimum, each student is required to produce the following.

  1. Project Proposal.
  2. Project Specification.
  3. Project Dissertation.
  4. Weekly Project Learning Logs.
  5. Monthly Supervision Meeting Record.

Innevitably this results in a lot of paperwork being generated. Since the project runs over around 30 weeks, it especially generates a large number of weekly learning logs and monthly supervision records.

However, the proper completion of these forms contributes explicitly to 10% of the final marks allocated (the Project management marks). In addition, properly planning and managing a project is also essential for ensuring a good project overall. Good project management therefore contributes to the final mark in other practical ways as well.

This site has therefore been set up to simplify the process of managing the weekly and monthly forms that are a required part of the project. It ensures that forms are completed in a timely manner and that students can plan their future work effectively. By storing the data online it also ensures that forms don't get lost. Finally, it's intended to simplify the process of managing a project, making things more efficient for both the student and tutor.

Note that this this project site is still in beta status. It's being tested, and things might go wrong with it, so please let your tutor or the site admin know if there are any problems.

Status page

The Status Page gives an overview of a student's progress. The main table on the page lists all of the weekly and monthly forms that have been completed or are pending.

It's important to note that only forms relating to future activity can be edited. Any forms that are for previous weeks are locked and cannot be changed. This is the case whether or not a form was completed for the historical week. This also applies to both students and tutors.

However, all future forms can be completed. This allows activities to be planned in the future, and we recommend students to fill out forms as far in advance as possible, then amend them once the work has been completed for a week.

Weekly forms can be edited by clicking on the Edit button for the relevant form in the Edit column of the table on the status page. For editing the form for the current week, there's also a button labelled Edit Weekly Report at the top of the page that will go directly to the page for the current report. Previous reports that can no longer be edited can be viewed by clicking on the View button under the Edit column of the table. If this button is greyed out, it's because no form was completed for that week.

Monthly forms can be viewed by clicking on the View button that appears in the Monthly column of the table on the status page. There can only be one form completed per month and it will be shown on the row of the week it was completed. However, if there is no such button for a particular month, it'll be because no form was completed for that month.

Project Learning Log

The Project Learning Log page allows you to complete the weekly project learning log. Fill out the details in the form areas of the page and hit Submit to store the changes.

Note that any changes will only be stored if you click the Submit button at the bottom of the page.

It is the student's responsibility to complete all of the weekly forms in a timely manner. They must be completed before or during the week they relate to. They cannot be completed retrospectively.

In order for the form to be considered as completed there must be text entered into all six of the sections on the form.

Although the form can be printed out from the editor page, for better formatting we recommend printing it from the form viewing page. This can be accessed by clicking on the View button on the status page.

Supervision Meeting Record

Only tutors can edit the Supervision Meeting Record. However, the form should be completed collaboratively between the student and tutor during one of the monthly meetings. It is therefore the student's responsibility to arrange a meeting so that the form can be completed.

Although students can't edit the text directly, they can view and print out a copy of the text at any time. If - as a student - you want something on the form changed, you should consult with your tutor. However, note that tutors are not able to edit forms that relate to previous months.

Change Password

Students can change their passwords at any time by clicking on the Change Password button on the main status page.

Passwords are stored hashed on the server. This is beneficial for security purposes (e.g. it means that not even someone with access to the internal database can determine the paswords), it also means that if you forget your password there is no way to retreive it.

Login

Enter your username (which should be the same as your LJMU username) and your password, then clcik Submit to login.

Note that your password is separate from your usual LJMU password, so they needn't be the same.

If you don't have a username and password but think you should, please contact the site admin.

Login Failure

As explained above, passwords are stored hashed on the server. This is beneficial for security purposes (e.g. it means that not even someone with access to the internal database can determine the paswords), it also means that if you forget your password there is no way to retreive it.

If you do forget your password, please discuss this with your tutor so that it can be sorted out.

User Details page

This page allows a user's details to be updated. Simply make any changes required and click on the Update button. Note that currently only tutors can change these details, so if you'd like them changed as a student, please let your tutor know.

Although any details can be entered, it's important to ensure they remain correct, otherwise the wrong details will appear on the final reports. Please also use only LJMU email addresses.

Create New User

Only tutors can add new users to the system. Simply complete the details and hit Submit to add the new user.

Admin Console

The Admin Console can only be accessed by tutors. It shows all of a tutor's students in the main table on the page. Clicking on a student's username will take you to the status page for that student. You can also edit the student's details and edit their monthly report from here.

Error page

If an error occurs, you may see the error page. In this case, please contact the site admin. The site is still in beta status, so things may go wrong I'm afraid.
